Terms of Booking & Booking Deposit


By placing a Booking with The Croft Farm Ltd (the property owner / his/her representative) you (the lead guest) and your booking party (guests) agree to the following terms and conditions as set-out. During your stay you agree to abide by the subsequent conditions as set-out. If you have any questions about booking with us, please contact us before making a booking.


To place a booking with us the lead guest must be at least 18 years of age. The maximum number of staying guests per room is illustrated in the room occupancy details on the website. Where the person making the booking is different to the lead guest taking up the occupation, the person making the booking may be held responsible for cancellation, non-arrival and damages as set-out within. Only the lead guest and the named booking party are allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.


  1. Deposits 


1.1 In order to confirm your chosen Booking, you must pay a deposit as required of the Booking in question (or full payment if booking within 30 days of the date of your check-in).


1.2 To secure any booking we require a deposit to be paid in advance, this deposit amount is = 30% of booking.

Deposit payments must be 'cleared funds' before a booking can be confirmed. Deposits are only refundable under the conditions set-out here within. 


1.3 Payments can be made online as well as by digital bank transfer. Any charges raised against us by our banks for handling dishonoured bank transfers or any other payments, must be reimbursed by the lead guest within seven (7) days of any request to do so.


  1. Cancellation and Amendments


2.1 Any cancellation or amendment request must be sent to us by email (hello@thecroftfarmescape.com) and will be considered and responded to within three working days of receipt. Please ensure that you have received written confirmation of any changes to your Booking prior to travel. Whilst we will always try to help, we cannot guarantee that such requests will be met.


2.2 Amendments and cancellations can only be accepted in accordance with our booking terms & conditions. We may charge cancellation or amendment charges in accordance with our booking conditions, we have outlined our charges at clause 2.5 below.


2.3 If your booking is cancelled because of government restrictions due to COVID-19, we will be in contact to amend the dates of your booking. Failing that, you are entitled to a full refund. 

2.4 In the rare event we need to cancel your booking with us, please be aware that we cannot be held liable for circumstances beyond our control and that our liability to you is limited to the refund of any payment already made.


2.5.  Owner’s General Cancellation Charges:


2.5.1 Cancellation of your booking by you will be reimbursable less a 15% cancellation fee.


2.5.2 If you cancel within 30 days of your check-in date, the total of the booking is refundable less a 50% cancellation fee.


2.5.3 Cancellation insurance is available but will be a third party arrangement and not involve The Croft Farm Ltd in any way.


2.6.  Owner’s General Amendment Charges:


2.6.1 Alterations to your Booking can only be made more than 30 days prior to the check in date, after which time alterations will be treated as cancellation. All alterations are subject to availability and may incur a £30 administration fee.


2.6.2 All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to other guests, neighbours or the owners.


  1.  Arrivals and Check-in & Check-out


3.1 Guests must check-in and check-out by the times stated below;

Check-in by: 15:00pm on day of arrival

Check-out by: 11:00am on day of departure


3.2 Non-arrival guests, who are unable to attend or fail to attend for whatever reason forfeit their deposit paid and the full amount of the booking will be due. It is suggested that booking guests take out appropriate holiday / cancellation insurance where required.


4.  WiFi Fair & Appropriate Usage Policy


4.1 Where WiFi Internet access is provided, guests accept to use this access to the Internet fairly and appropriately. We may monitor network performance and user usage in order to maintain a fair and high level of service to all our guests.


4.2 The Internet access provided is intended for general use such as access to the world wide web, email, messaging, social media, light video / music / media streaming. It is not intended or ideally suited for heavy media streaming, online gaming, extensive downloads / uploads. Access to illegal activity or use of our network for illegal activity is not prohibited and will be reported to local authorities


5.  Damages & Lost Property


5.1 We reserve the right to charge the lead guest for any damages caused through the course of a booking by any member of the booking party. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key.


5.2 Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belongings before checking-out. We may offer to post lost items via recorded delivery at your cost, otherwise collection can be arranged.


6.  Smoking


6.1 Smoking of any tobacco products including, but not limited to cigarettes, pipes, cigars, snuff or chewing tobacco, is only allowed outside the accommodation area. Keep in with the Health Act 2006. There are numerous outside canopy areas for smokers.


7.  Pets & Service Dogs


7.1 We allow a maximum of two household pets to stay at The Croft Farm. There is an additional £10 charge per pet, per night. Please try to keep the place clean after the pets.


8. Parking


8.1 On-site parking is provided, guests accept that they park their vehicles at their own risk.


9. Your Personal Details & Privacy


9.1 We are required to keep a register of guests over the age of 18 who stay with us, this includes full names. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).


9.2 Our policy surrounding the personal details you provide as part of any booking or enquiry through this website / or third party website, including the privacy of those details are explained and set out in our Privacy Policy which you can read here.


9.3. You accept that any entries you make to an on-site guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the DPA and GDPR may be removed and destroyed.


10.  Special requests


10.1 If you have any special requests (for example dietary requirements, cots or room location), please let us know at the time of booking. We will do what we can to provide, but unfortunately, we can't guarantee that they will be met and we will have no liability to you if they are not.


11.  Information & Accuracy


11.1 The information and prices shown on this website are varied from time to time and may change between the time you first view a property and make a Booking. You should check that all the details are as you expect prior to making a Booking. It is always possible that, despite our best efforts, some of the properties (including the features and extras available) may be incorrectly described and/or priced. If we discover this is the case after you have made a Booking, we reserve the right to contact you with details of the correct information and/or pricing and will give you the option to:


(1) proceed with the Booking based on the correct information and/or pricing, which may require the payment of an additional amount by you;


(2) subject to availability, change your booking dates to dates when the pricing can be honoured and so no additional charge to you. In the event that a lower price can be offered for alternative dates then the difference would be refunded;


(3) cancel the Booking. If we do not receive your instructions within 5 days of contacting you, we reserve the right to cancel your Booking without liability to you.


12.  Insurance


12.1.  You are strongly recommended to take out personal travel insurance for all members of your party. It is your responsibility to ensure that the insurance you purchase is adequate and appropriate for your particular needs. Please read your policy details and take them with you on holiday.


13.  Governing Law and Jurisdiction


13.1. These terms and conditions have been drafted in accordance with and are governed by English law and the courts of England and Wales have exclusive jurisdiction in relation to any and all disputes arising out of these Agency Terms & Conditions.

Our Right To Cancellation

We reserve the right to cancel any booking without compensation, refund or reimbursement if the terms of these conditions are breached.


The following Terms  apply to bookings made from 1st January 2022 onwards with any onsite camping booking, customers will need to agree to these Terms before confirming a booking. These Terms supersede any standard cancellation policies.

30% Deposit

Bookings made with this Guarantee will require only a 30% deposit at the time of booking.

Balance payment 30 days before arrival date

A balance payment for the full amount will be due 30 days before the booking starts, when you can be confident that your trip is going ahead.

Flexible Rebooking Policy

In the event of cancellation due to Coronavirus restrictions or for self-isolation, the customer has the flexibility to move their booking to any available date up to the end of 2022* (the 'flexible rebooking policy') with no additional charges. The customer must notify the accommodation provider by 12 noon of the day prior to the start date of the holiday (the 'rebooking deadline') if they wish to make use of the flexible rebooking policy. If the customer does not notify the accommodation provider by the rebooking deadline, it will be assumed that the holiday will be going ahead and therefore the flexible rebooking policy will no longer apply. In that event, if the customer does not subsequently check in on the holiday start day, the full payment will be forfeited and no refunds will be made, in line with the clear and express terms of this Guarantee. Any deviation from these clear and express terms are entirely at the discretion of the Accommodation Partner, with the exception of subsequent local or national restrictions being imposed after the rebooking deadline, in which case the flexible rebooking policy would still be applied.

The flexible rebooking policy is only available for cancellations related to genuine Coronavirus restrictions. Flexible rebooking is not available for cancellations related to weather or other reasons.

In the event that the customer uses the flexible rebooking policy and chooses a date where the same accommodation is only available at a higher price, the additional prevailing rate for the stay will be due.

* In the event of no suitable availability during the 2022 season, then customer can move the holiday to the 2023 season, subject to availability. 


Due to the flexible rebooking policy, the low deposit and late balance payments, no refunds are available to the customer on any funds paid to the campsite (either the deposit or the balance payment). If the customer fails to pay the balance by 30 days prior to the holiday start date, the deposit may be deemed to be forfeited by the campsite and the booking cancelled. In such an event the flexible rebooking policy will no longer apply.


We recommend additional cancellation insurance to cover in the event of cancellations other than Coronavirus restrictions.



 I, understand The Croft Farm Escape and team including facilitators, practitioners, hosts and /or third party touring partners, have NO LIABILITY to me or any other person for personal health complaint(s) or injured occurred by any services performed  in person, on digital and online platforms in which classes, workshops are shared.  

I, am responsibly for my own health and well-being, should I be concerned for any personal injury or personal illness, that I consult my doctor or medical professional to have approval to participate in the sauna, jacuzzi & wellbeing classes being offered.  

I understand, if I am nursing an injury and have medical clearance to exercise and yoga classes, that I may need to adjust my movement practise to not affect that area. Use props like yoga blocks or cushions and towels to support yourself. Always stop if you feel pain. 

I, am aware if I am pregnant I should not participate in these general classes.

I understand the classes and sessions are general well-being classes, any special conditions are not catered for. It is recommended you seek programmes tailored to your needs.   

Please remember to always work within your bodies means and pace. Use props like yoga blocks or cushions and towels to support yourself. Always stop if you feel pain.

I, understand The Croft Farm Escape and team including facilitators, practitioners, hosts and /or third party touring partners, have no liability to me or any other person for personal health complaint(s) or injured occurred by any services performed in person or via digital and online platforms in which classes, workshops are shared  OR in the care or on premises where The Croft Farm Events, retreats and travel programs are being held. All our Croft Farm Escape facilitators and practitioners are qualified and trained in their expert areas and provide commitment to your wellbeing, health and safety. As a guest you are personally liable for any cost of damages that occur at the retreat and / or at the host venue which they are responsible for. The Croft Farm Escape is not responsible for any theft, fire and/or natural disasters that may result in harm, damage to guests, belongings, loss of travel expenses and / or death. The Croft Farm Escape highly recommends personal/medical/travel insurance for any guests attending retreats and travel insurance must be purchased for any international travel outside of UK. I, agree The Croft Farm Escape may need to make adjustments to the program if for unforeseen events occur. The Croft Farm Escape will continue to provide a program of similar inclusions and value if changes are to be made.

Studio / Event Rental Agreement


This is an agreement between The Croft Farm Escape Ltd and the practitioner who would like to rent the therapy rooms for private practice. Site location: The Croft Farm Escape, Dagnall Road,

HP1 3BP.


The minimum length for day event bookings is 8 hrs.  All day/event bookings are made direct via email with our events team and payments via our online system.


FOR ALL BOOKINGS: The Croft Farm Escape Ltd agree to: 1. Offer a clean, safe, confidential environment for the practitioner and client to work in. 2. Notify the practitioner of any correspondence to them sent to The Croft Farm Escape Ltd and to keep it safe and confidential until it can be collected. 3. Give at least 24 hrs notice wherever possible of building closures. 4. Give one month’s notice if rooms are no longer being used for rental purposes. 5. Deal with any complaints and grievances in line with The Croft Farm Escape Ltd complaints policy. The practitioner agrees to: 1. Respect all furniture and fittings and to leave the rooms in a clean and tidy condition, suitable for the next user. 2. Inform The Croft Farm Escape Ltd if they need to cancel a booking. At least 24 hours notice is needed otherwise The Croft Farm Escape Ltd will still charge for the room. We recommend you agree similar terms with your clients. 3. Provide their own resources and do their own administration. 4. Pay all invoices when they fall due. Failure to do so will result in termination of this agreement. 5. Be fully responsible for the health and safety of their clients/course participant. The Croft Farm Escape Ltd are not responsible for damage to personal property. All bags and coats are left at the clients own risk. 6. Provide up to date professional indemnity insurance and evidence of professional body membership, qualifications etc. and maintain insurance for the duration of this agreement. 7. Indemnify The Croft Farm Escape Ltd from any liability, loss or damage arising from the practitioner’s activities. 8. Operate within the General Terms and Conditions of Room Rental (below). General Terms and Conditions of Studio Rental You must maintain the appropriate certification, qualifications and up to date professional liability insurance. The Croft Farm Escape Ltd will not deal with any financial transactions or payment of fees on your behalf unless you request it in advance. You should maintain full control over your bookings and treatment of your clients, including client records and advertising materials. You should inform your client that The Croft Farm Escape Ltd is not involved in the professional arrangements between you and your client. You should always conduct yourself in a professional manner whilst using the therapy rooms and the building. You are responsible for addressing your client’s conduct if needed. The therapy rooms must only be used during the hours that have been agreed and booked. Please double check that the booking has been made correctly as we cannot be responsible for any mistakes that are made. Please vacate the room as soon as your slot has finished. Other therapists may be using the room and therefore running over the allocated time slot is not permitted. You are responsible for bringing your own equipment to the clinic and any equipment left in the building is done so at your own risk. The Croft Farm Escape Ltd will accept no responsibility for personal or professional items left on the premises. You are responsible for the therapy room and its content during your sessions. Any damage that occurs during this time must be brought to our attention and payment for any damages must be received within 14 days of billing. The therapy room must be left in a safe and tidy condition so that other therapists can use it immediately after you. If any incidents or accidents occur that require attention, please report it immediately. You do not have the authority to enter into contracts on behalf of The Croft Farm Escape Ltd. It is forbidden to sublet the therapy room or use it for any other purpose other than what has been agreed. You are not permitted to make a copy of any keys and you are not permitted to give your to a third party. If you are the last person to leave the building, you must ensure that all lights are switched off, the heaters have been switched off and the door has been locked as instructed.
