Terms of Booking & Booking Deposit

 

By placing a Booking with The Croft Farm Ltd (the property owner / his/her representative) you (the lead guest) and your booking party (guests) agree to the following terms and conditions as set-out. During your stay you agree to abide by the subsequent conditions as set-out. If you have any questions about booking with us, please contact us before making a booking.

 

To place a booking with us the lead guest must be at least 18 years of age. The maximum number of staying guests per room is illustrated in the room occupancy details on the website. Where the person making the booking is different to the lead guest taking up the occupation, the person making the booking may be held responsible for cancellation, non-arrival and damages as set-out within. Only the lead guest and the named booking party are allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.


 

  1. Deposits 

 

1.1 In order to confirm your chosen Booking, you must pay a deposit as required of the Booking in question (or full payment if booking within 30 days of the date of your check-in).

 

1.2 To secure any booking we require a deposit to be paid in advance, this deposit amount is = 30% of booking.

Deposit payments must be 'cleared funds' before a booking can be confirmed. Deposits are only refundable under the conditions set-out here within. 

 

1.3 Payments can be made online as well as by digital bank transfer. Any charges raised against us by our banks for handling dishonoured bank transfers or any other payments, must be reimbursed by the lead guest within seven (7) days of any request to do so.


 

  1. Cancellation and Amendments

 

2.1 Any cancellation or amendment request must be sent to us by email (hello@thecroftfarmescape.com) and will be considered and responded to within three working days of receipt. Please ensure that you have received written confirmation of any changes to your Booking prior to travel. Whilst we will always try to help, we cannot guarantee that such requests will be met.

 

2.2 Amendments and cancellations can only be accepted in accordance with our booking terms & conditions. We may charge cancellation or amendment charges in accordance with our booking conditions, we have outlined our charges at clause 2.5 below.

 

2.3 If your booking is cancelled because of government restrictions due to COVID-19, we will be in contact to amend the dates of your booking. Failing that, you are entitled to a full refund. 

2.4 In the rare event we need to cancel your booking with us, please be aware that we cannot be held liable for circumstances beyond our control and that our liability to you is limited to the refund of any payment already made.

 

2.5.  Owner’s General Cancellation Charges:

 

2.5.1 Cancellation of your booking by you will be reimbursable less a 15% cancellation fee.

 

2.5.2 If you cancel within 30 days of your check-in date, the total of the booking is refundable less a 50% cancellation fee.

 

2.5.3 Cancellation insurance is available but will be a third party arrangement and not involve The Croft Farm Ltd in any way.

 

2.6.  Owner’s General Amendment Charges:

 

2.6.1 Alterations to your Booking can only be made more than 30 days prior to the check in date, after which time alterations will be treated as cancellation. All alterations are subject to availability and may incur a £30 administration fee.

 

2.6.2 All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to other guests, neighbours or the owners.


 

  1.  Arrivals and Check-in & Check-out

 

3.1 Guests must check-in and check-out by the times stated below;

Check-in by: 15:00pm on day of arrival

Check-out by: 11:00am on day of departure

 

3.2 Non-arrival guests, who are unable to attend or fail to attend for whatever reason forfeit their deposit paid and the full amount of the booking will be due. It is suggested that booking guests take out appropriate holiday / cancellation insurance where required.


 

4.  WiFi Fair & Appropriate Usage Policy

 

4.1 Where WiFi Internet access is provided, guests accept to use this access to the Internet fairly and appropriately. We may monitor network performance and user usage in order to maintain a fair and high level of service to all our guests.

 

4.2 The Internet access provided is intended for general use such as access to the world wide web, email, messaging, social media, light video / music / media streaming. It is not intended or ideally suited for heavy media streaming, online gaming, extensive downloads / uploads. Access to illegal activity or use of our network for illegal activity is not prohibited and will be reported to local authorities

 

5.  Damages & Lost Property

 

5.1 We reserve the right to charge the lead guest for any damages caused through the course of a booking by any member of the booking party. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key.

 

5.2 Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belongings before checking-out. We may offer to post lost items via recorded delivery at your cost, otherwise collection can be arranged.


 

6.  Smoking

 

6.1 Smoking of any tobacco products including, but not limited to cigarettes, pipes, cigars, snuff or chewing tobacco, is only allowed outside the accommodation area. Keep in with the Health Act 2006. There are numerous outside canopy areas for smokers.


 

7.  Pets & Service Dogs

 

7.1 We allow a maximum of two household pets to stay at The Croft Farm. There is an additional £10 charge per pet, per night. Please try to keep the place clean after the pets.


 

8. Parking

 

8.1 On-site parking is provided, guests accept that they park their vehicles at their own risk.


 

9. Your Personal Details & Privacy

 

9.1 We are required to keep a register of guests over the age of 18 who stay with us, this includes full names. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).

 

9.2 Our policy surrounding the personal details you provide as part of any booking or enquiry through this website / or third party website, including the privacy of those details are explained and set out in our Privacy Policy which you can read here.

 

9.3. You accept that any entries you make to an on-site guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the DPA and GDPR may be removed and destroyed.


 

10.  Special requests

 

10.1 If you have any special requests (for example dietary requirements, cots or room location), please let us know at the time of booking. We will do what we can to provide, but unfortunately, we can't guarantee that they will be met and we will have no liability to you if they are not.


 

11.  Information & Accuracy

 

11.1 The information and prices shown on this website are varied from time to time and may change between the time you first view a property and make a Booking. You should check that all the details are as you expect prior to making a Booking. It is always possible that, despite our best efforts, some of the properties (including the features and extras available) may be incorrectly described and/or priced. If we discover this is the case after you have made a Booking, we reserve the right to contact you with details of the correct information and/or pricing and will give you the option to:

 

(1) proceed with the Booking based on the correct information and/or pricing, which may require the payment of an additional amount by you;

OR

(2) subject to availability, change your booking dates to dates when the pricing can be honoured and so no additional charge to you. In the event that a lower price can be offered for alternative dates then the difference would be refunded;

OR

(3) cancel the Booking. If we do not receive your instructions within 5 days of contacting you, we reserve the right to cancel your Booking without liability to you.


 

12.  Insurance

 

12.1.  You are strongly recommended to take out personal travel insurance for all members of your party. It is your responsibility to ensure that the insurance you purchase is adequate and appropriate for your particular needs. Please read your policy details and take them with you on holiday.


 

13.  Governing Law and Jurisdiction

 

13.1. These terms and conditions have been drafted in accordance with and are governed by English law and the courts of England and Wales have exclusive jurisdiction in relation to any and all disputes arising out of these Agency Terms & Conditions.
